AI tools for portfolio monitoring: tracking KPIs from the source.

Chronograph, iLEVEL, Allvue, 73 Strings and other monitoring tools collect what portfolio companies report and turn it into analysis for LPs. Each now uses AI to read the documents companies send. The results still depend on figures built by hand in the CFO’s spreadsheet, often late and defined differently at each company. Addressing those problems requires connecting portfolio companies at the source.

01 · Side by side

Collecting what is reported or connecting the source.

Most monitoring software works from what portfolio companies send. The main differences are how current, consistent and traceable the numbers are, and what the portfolio company can use in its own work.

02 · The tools buyers ask about

What each tool is built to do.

These descriptions use each vendor’s published material, checked in October 2026. None publishes pricing, so we do not quote any.

Chronograph

Portfolio monitoring, valuations, analytics and LP reporting for GPs and LPs, with plugins for Claude and Codex and semantic search across portfolio data. It automates portfolio company data collection, primarily for the largest fund managers.

iLEVEL (S&P Global)

Long-established portfolio monitoring and valuation software. Automated data ingestion (launched February 2025) extracts figures from the PDFs and spreadsheets that deal teams and portfolio companies upload, and document search finds answers in board decks with source annotations.

Allvue

Fund accounting, portfolio monitoring and investor reporting in one suite. Portfolio companies submit financials and KPIs through configurable input screens with data checks. There is also a package for emerging managers.

73 Strings

Data and valuation infrastructure for alternative asset managers. It extracts and harmonizes financial and operational KPIs from source documents, then runs monitoring and valuations with AI agents and human review.

Standard Metrics

AI portfolio monitoring built primarily for venture. The only vendor we reviewed whose site says portfolio companies can connect their systems of record directly to auto-populate metrics, alongside AI extraction from board decks.

Lumonic (PitchBook)

Monitoring for private credit, PE and VC. Senders upload required reports in their own format, or a firm connects its inbox to Lumonic. An agent extracts the figures and runs covenant tests.

Carta

Fund administration and the wider fund ledger. Its 2026 roadmap adds AI collection of portfolio company financials and KPIs and an LP tearsheet builder. Its base is venture funds and fund administration.

Juniper Square

A fund operating system for fundraising, investor CRM, fund accounting and reporting, with AI agents. It works at the fund level and does not collect portfolio company operating data.

Hebbia and Rogo

Often mentioned in portfolio monitoring comparisons, though built for different work. Hebbia reasons across large document sets for research and diligence. Rogo runs analyst work such as models, memos and decks. Neither is a system for monitoring portfolio companies.

Most portfolio monitoring is still a collection exercise

Spreadsheets remain common. A 2018 Preqin survey found 46% of fund managers monitored their portfolios in Excel alone, and many still do. Newer software improves analysis but follows the same collection process. Portfolio companies fill out a template, upload a board pack or reply to an email. Software now uses AI to extract the figures for analysis. Each company’s finance team still prepares those numbers by hand every month while the sponsor follows up on late submissions. Our guide to AI portfolio monitoring covers how to set the process up well.

The sponsor’s view is only as good as the company’s data

When a KPI moves, the deal team wants to know why. A figure extracted from a board pack can show that gross margin fell two points. Explaining which customers, contracts or jobs caused the fall requires detail still held in the company’s systems. Definitions drift as well. Utilization at one company excludes travel time and at another it does not, so the portfolio totals combine different measures. Consistent reporting requires an agreed model of each business, with definitions set once and every number traced to its source record. We cover how that model works in the company ontology guide.

What the portfolio company gets each week

Template monitoring gives the portfolio company another reporting deadline with little benefit to its own team. Connecting at the source gives the CFO and operators views built from their own systems: billing checked against contracts, branch or crew productivity, cash and working capital, and an operating review drafted before the Monday meeting. Because they use it every week, the numbers the sponsor sees stay current without anyone chasing them. At one PE-backed field services company, this work began by connecting the warehouse, finance, billing, HR and every customer contract.

Each portfolio company takes less time to connect

The first company takes the most work because engineers must connect its systems and agree on what each KPI means. The second uses proven integrations and definitions, as does the third. Over time, the firm builds one consistent model across its portfolio. Teams can then answer portfolio-wide questions from source data and read the KPI pack without rebuilding it. This is the forward-deployed model we use across a portfolio.

03 · When to pick a monitoring platform

Three cases where you should buy the platform.

LP reporting is the main job

For quarterly LP reporting, valuations and audit-ready marks across many funds, a dedicated platform such as Chronograph, iLEVEL or 73 Strings fits the task and will be quicker than a custom build.

You want one fund suite

If fund accounting, investor reporting and monitoring should sit with one vendor, a suite like Allvue or Juniper Square brings them together. Expect portfolio companies to keep submitting data the way they do now.

Your portfolio reports cleanly already

If every company already sends consistent, trusted numbers on time, the main task is analyzing them. A monitoring tool with good AI extraction and search suits that work.

THE DIFFERENCE UNDERNEATH

You don't buy DealSage. You build it with us.

The alternative on this page is something you stand up and run yourself. DealSage is different in kind: a build we run with you, configured to your firm and delivered by an embedded team, so you come out AI native, with the work running on your own data instead of in one more tool.

An engagement, not a purchase

A dedicated pod (consultant, technologist and builder) stands the platform up around how your firm actually works, and stays to drive the change. Not a login and good luck.

Configured to you, not a fixed product

The ontology, agents and apps are shaped to your deals, your data and your workflows. Flexibility is the whole point, not a feature list you bend your firm to fit.

AI native, not another tool

The outcome is your firm running on structured data with agents on top, and us solving the real problem alongside you, rather than handing you software and leaving.

Frequently
asked questions

What is the best AI tool for tracking KPIs across a private equity portfolio?

The best fit depends on where the work starts. If the job is collecting reported numbers from many companies and producing LP reports and valuations, a dedicated monitoring platform such as Chronograph, iLEVEL, Allvue or 73 Strings is the standard choice. Each now uses AI to extract figures from the documents portfolio companies send. If the numbers are late, inconsistent or hard to trust, or the firm wants portfolio companies to operate with better data, connect each company’s own systems into one model and track KPIs from the source. That is the approach DealSage takes.

Can AI replace the spreadsheets we use for portfolio monitoring?

Yes, in two steps. First, collection: either AI extracts figures from the board packs and spreadsheets companies already send, or the firm connects to each company’s accounting and operating systems so the numbers flow automatically. Second, definitions: a KPI such as gross margin or utilization has to mean the same thing at every company, which requires an agreed model of each business. Without that, faster collection leaves the firm comparing inconsistent figures.

Can AI draft portfolio KPI updates and board packs?

Yes. Most monitoring platforms now generate tearsheets and summaries from the data they hold. The draft depends on the underlying data. If the template figures have gaps, the draft will too. Connected source data lets the update explain why a number moved and trace each figure back to its original record.

What does the portfolio company get out of it?

Template-based monitoring mostly adds another reporting obligation. A connected model gives the CFO and operators the same views the sponsor sees, built from their own systems, plus tools for their weekly work: variance flags, contract and billing checks, crew or branch productivity, and an operating review drafted before the Monday meeting. When the portfolio company uses it every week, the sponsor’s numbers stay current without anyone chasing them.

How is DealSage different from Chronograph or iLEVEL?

Chronograph and iLEVEL are monitoring platforms for the fund. They collect what portfolio companies report and make it quick to analyze and share with LPs. DealSage works at the portfolio company level. Our engineers connect each portfolio company’s systems into one model of that business, build the workflows its team uses, and supply the sponsor’s monitoring data from the same source. Some firms use both, with DealSage supplying cleaner data into the monitoring platform they already have.

How long does it take to connect a portfolio company?

The first company takes longest because engineers must connect its systems and agree on what each KPI means. The first working view should be live within weeks. Each company after that uses proven integrations and definitions, so connecting the rest of the portfolio takes less time.
